Save Time – Swap Tasks for Zaps
By connecting LearnWorlds with any other app you like (Google Sheets, Printful, SurveyMonkey, QuickBooks and other 3000 apps), you can replace manual work with zaps. Zaps are the quickest way to automate your routine workflows via Zapier to improve the efficiency of your school management all-round.
Go to: Settings → Integrations → Zapier to access the integration directly from your school.
To create a Zap (aka a workflow), you need to connect two (or more) apps by selecting a trigger and an action:
So the Zap will make sure that each time a user completes a course, they will receive a feedback form. Timely and reliably.

|Subscription or Payment Plan Canceled||a user cancels their subscription or payment plan.|
|Tag Added||a selected tag is added to a user.|

|Create User||Add a new user to the school. If a user with this email already exists, this user will be updated.|
|Enrolled in a product||Gives the user access to a course or bundle (either paid or private). If a user with this email already exists in the school, then this user will be enrolled; if not, then a new user will be created and enrolled to the selected product.|
|Unenrolled from product||Gives the user access to a course (free, paid, private) or bundle/subscription. If a user with this email already exists in the school, this user will be enrolled in the selected product; if not, a new user will be created and enrolled in the selected product.|
|Add tags to user||Adds one or more tags to a user.|
|Remove Tags From User||Removes one or more tags from a user.|
One trigger, multiple steps
Sometimes one action is not enough. So make sure that for each trigger you set up, you will be able to unlock even multiple sequential steps — including actions, filters, and searches!
So to continue with the example above, once a user receives a survey, we can add a corresponding tag in LearnWorlds.
New search capabilities
The ‘Search’ action allows you to utilize the data you already have about your school in a more productive way!
Essentially, when you want something to happen only for a group of users, you can use a ‘Search’ step between your trigger and the final action.
For example, let’s say that you need to prioritize your school’s inbox. In this scenario, you want to give priority to the emails of your active learners. How do you do that? You can run a search!
a) FALSE → GMAIL (email@example.com) sends an auto-reply
b) TRUE → GMAIL(firstname.lastname@example.org) forwards this email to your direct email (email@example.com).
In this way, you can prioritize your active students over unknown contacts.
You can apply the same principle to other cases! Essentially, when you look up users’ information in one of your apps, and you want to cross-check the same info in LearnWorlds or also retrieve info from LearnWorlds about a specific user, you can use a Search action.
You also have the option to create a new record (user or a lead) if the Search doesn’t find any matching data in your school. Together, create and search actions give you a powerful way to connect your favorite apps to your online school.
Set up an automation strategy for your school using Zapier
